How to create a non-refundable rate with specific conditions?

With the current version, HBook does not provide, as such, a way to create refundable and non-refundable rates. However, there are different ways to use HBook to reproduce this kind of pricing.

Fixed discount amount for non-refundable rates all year round - no refund conditions

This is a suitable option in the following cases:

• Fixed amount discount for non-refundable prices. Discount amount can be different per accommodation type, but it cannot be different according to season. No conditions can be set for the non-refundable prices to be offered.

• Add a refundable option with an extra price (either one-off, or per night, or per night/per person) to pay. Extra amount can be different per accommodation type, but it cannot be different according to season. No conditions can be set for the refundable option to be offered.

If you wish to show a discount for non-refundable rates:

1. In HBook > Rates, your rates will be the refundable rates

2. In HBook > Extra services, create a new extra service with multiple choice.

3. Add the following choices:

   • Refundable: it will have no cost.

   • Non-refundable: choose the type of price and enter a negative amount .
     For example, for a non-refundable rate with a discount of $20/night/person, choose “Per day/per person” and add “-20” as value.

4. You can modify the label and texts for each option in HBook > Text/Translation > Extra services.

If you wish to show it as an option for a refundable stay:

1. In HBook > Rates, your rates will be the non-refundable rates.

2. In HBook > Extra services, create a new extra service with multiple choice.

3. Add the following choices:

   • Non-refundable: it will have no cost.

   • Refundable: choose the type of price and add the extra price amount.

4. You can modify the label and texts for each option in HBook > Text/Translation > Extra services

Create conditions for non-refundable/refundable rates - Show upfront both refundable and non-refundable options

This is a suitable option in the following cases:

• Refundable/non-refundable rates are not fixed amounts or are different according to season.

• Refundable/non-refundable rates are offered according to specific conditions (stay length, specific booking window, etc.)

• You wish to present the visitor with the choice of refundable and non-refundable directly in the search results.

1. In HBook > Accommodation type, you will duplicate the accommodation types concerned. For example, instead of having “Family apartment”, you will have “Family apartment - Refundable” and “Family apartment - Non refundable”.

2. In HBook > Accommodation type > Automati blockings settings, you will use the setting "Accommodation that need to be automatically blocked when this type of accommodation is booked" to indicate the ID of the duplicated accommodation type. You will do this in both accommodation. For example, in “Family apartment - Refundable”, insert the ID of the accommodation type “Family apartment - Non refundable”. And in “Family apartment - Non refundable”, insert the ID of the accommodation type “Family apartment - Refundable”.

3. In HBook > Booking rules, add your booking rules for the newly created accommodation types. If they are the same for both “refundable” and “non-refundable”, you will edit the existing rules to add the new accommodation types. If they are different, you will specify the booking rule for each case.

4. If you wish to offer the non-refundable accommodation types only for a specific booking window, you will use the setting “Override default opening dates” in each accommodation type concerned. It can be used to display a rate only for “last minute” or only for “advanced reservations”.

5. In HBook > Rates, associate your existing rates with the newly created accommodation types.

6. In HBook > Rates > Discounts, set the discount to be applied for the “Non-refundable” accommodation types.

Reproduce the non-refundable option as set in booking.com

The non-refundable prices as booking.com offers are a popular setup. Here is how to reproduce it in HBook. Please refer to the explanation above for further details.

1. Duplicate your accommodation types.

2. Set the automatic blockings between your non-refundable and refundable accommodation types.

3. Associate your current rates with these new accommodation types.

4. Add a discount for non-refundable accommodation types

5. If you have specific conditions (as a minimum stay duration), add the booking rule

6. If you offer the non-refundable option only for advanced reservations, set the specific booking window for the accommodation types concerned.
